EXECUTIVE DIRECTOR—Job Description
The Queen Village Neighbors Association (QVNA) is a 501(c)3 non-profit civic association bounded by Lombard Street, Washington Avenue, 6th Street, and the Delaware River. A volunteer board of directors ("Board") elected by Queen Village residents runs the organization, which is focused on supporting the quality of life in the neighborhood. QVNA is the registered community organization (“RCO”) for the area for purposes of zoning and city planning.
QVNA was founded on November 3, 1969, to “serve the residents of Queen Village and strengthen the community by providing a forum for public discussion of issues of concern and interest, supporting improvements to our neighborhood, our schools and our city, facilitating understanding and use of public services and acting as a channel of communication with city officials and elected representatives.”
Position Summary: Responsible for day-to-day association management, operations and budget within the constraints established by the bylaws and board-approved mission, strategic plan, and budget. Reports to the President. This role requires skills in business and financial management; web-based software; written communication and public speaking. Nonprofit or membership association experience is a plus.
Key Skills: Program design and management; event planning; fundraising, including grant writing and campaign design and management; strong communication skills including familiarity with social media and web applications; facility with Microsoft Office, and financial accounting software such as QuickBooks. A successful candidate will be organized, self-directed, and be able to recruit, engage, and manage volunteers.
Requirements: This is a competency-based hiring process. College degree preferred but not required. The position requires moderate physical exertion (e.g., neighborhood clean-ups, setting up meetings).
Salary and Benefits: This is a salaried position with benefits. The salary is based upon experience and skills. Bonuses will be considered upon completion of annual goals.
Hours: This position is full-time, with the expectation that the ED will work approximately 40 hours per week, as necessary, including certain night and weekend events as may be required. The ED will be expected to hold regular office hours and be available to the community via email, cellphone, and text during working hours.
Position Details
Communication/Administration
Maintains the QVNA website in collaboration with QVNA board members
Develops and disseminates weekly online newsletter
Responds to inquiries and questions in-person or via phone, email, website, social media, etc. Refers media inquiries to the President or appropriate officer.
Maintains the QVNA membership database and actively solicits memberships
Serves as associate editor for the Queen Village Crier and actively solicit paid advertisements
Drafts correspondence for the organization subject to approval of the President or their designee
Demonstrates ability to communicate clearly and professionally with a wide range of stakeholders. Must be able to navigate diverse perspectives and communication styles with discretion, diplomacy and respect.
Must be detail oriented.
Finance
Works with Treasurer and Finance Committee as needed to manage the organization’s finances
Works with bookkeeper to review QuickBooks information regularly
Parking Lot
Oversees parking lot repairs and maintenance, as appropriate.
Serves as the main point of contact for the QVNA parking lot with renters, residents, and the management company.
Board of Directors Support
Works with the President and Board, as needed.
Present Executive Director’s report at board meetings
Committee Support
Attends regular meetings of standing committees per the request of the committee chair, working with the group's leadership to prepare agenda, minutes, etc. Executes action items for each committee, as appropriate.
Plans, promotes, and administers special events organized by the Board and committees, including obtaining permits, soliciting bids, paying contracts, overseeing set up/break down, etc.
Coordinates zoning meetings, as necessary. Works with zoning applicants and fellow RCOs to ensure proper notification of all meetings and complete submission of required documentation. Under the direction of the President, drafts and submit all letters to the Zoning Board of Adjustment. Maintains complete zoning files at the QVNA office and on website for review by neighbors and applicants.
Grants (Internal and External)
Internal: Oversees administration of funds for all QVNA grant recipients and fiscally-sponsored organizations
External: Writes grants and solicits funding for QVNA and its projects from philanthropic, corporate, and other sources
